| Finance | Invoices, payment records, accounting and tax records |
| Suppliers and service providers | Contracts, correspondence, invoices |
| Personnel | Employment records, payroll |
| Statutory | Company registration and returns, tax registrations |
Records are held in electronic form, and in paper form where required.
6. How to request a record
- Complete the prescribed PAIA request form, available from the Information Regulator’s website.
- Send it to the Information Officer at the address in section 2.
- Give enough detail for us to identify the record, and tell us how you would like to receive it.
- Identify the right you are seeking to exercise or protect, and explain why the record is required to do so.
- If you are asking on behalf of somebody else, include proof of your authority.
A request that does not meet these requirements may be refused.
7. Fees
PAIA allows a request fee and an access fee, prescribed by regulation. Where a fee is payable we will tell you the amount before we process the request, and we may require it to be paid first. A person asking for their own personal information does not pay a request fee.
8. How long it takes
We will decide on your request within 30 days of receiving it, and tell you our decision in writing. That period may be extended in the circumstances PAIA allows, and we will tell you if it is.
9. Grounds on which we may refuse
PAIA requires or permits a request to be refused in certain cases, including where granting it would unreasonably disclose somebody else’s personal information, reveal confidential commercial information belonging to us or a third party, breach a duty of confidence, prejudice legal proceedings, or where the request is manifestly frivolous or vexatious. If we refuse, we will tell you why and what you can do about it.
10. If you are not satisfied
You may complain to the Information Regulator, or apply to a court, as PAIA provides. The Regulator’s details are in section 3.
11. Personal information we process
The personal information we process, why we process it, who we share it with and how long we keep it are set out in our Privacy Policy, which forms part of this manual.
